This repo is **public-facing**. Mechanical implementation details (API endpoints, internal infrastructure, DB schema, etc.) live in the separate `sage-docs-internal` repo — never link the two.

No. Sage uses multiple AI models for different stages (writing, image generation, enrichment) and integrates them with live Google Search Console data, your clients' websites, and WordPress. ### Will my articles read like AI-generated content?

The writer's output is structurally distinct from "generic AI text" — varied openers, skim lines, FAQ sections, internal links, real cited sources. The enrichment pass adds the elements (Key Takeaways, FAQ schema, structured comparisons) that AI search engines extract from. Most readers can't tell. Where AI-detection matters (some niches care), review-first mode lets you tune each piece.

### Do I need to write briefs first?

No — Sage generates the brief automatically from the suggestion's title + target keyword. You can override or refine the brief before generation if you want; most agencies don't.

# Domains Overview

The Domains Overview is your portfolio view across every client in Sage — set up new domains, check live performance, and decide where to focus next.

The Domains Overview is the **portfolio view** for your agency. Every client domain you manage sits on this one page, each row showing live search performance pulled directly from Google Search Console. It's the page you open first thing in the morning to see which clients need attention and the page you close last to confirm nothing's on fire.

### The domain list

Each row represents one client domain. The columns at a glance:

### The Company Overview

When you add a new domain, Sage automatically:

1. Crawls the **homepage + service pages**
2. Generates a 1-paragraph company overview describing what the business does
3. Assigns 2 **industry categories** based on the content

This overview is what makes the AI Suggestions Engine actually useful — Sage knows the client is "a B2B accounting software company serving SMBs" instead of just "they have a website." Suggestions get framed accordingly.

You can edit the overview anytime to refine the framing. The next batch of AI suggestions will use the updated version.

## Adding a new domain

The full flow:

1. **Click "Add Project"** at the top of the Domains Overview
2. **Connect Google Search Console** — pick the Google account that owns the domain's GSC property
3. **Choose the domain** — Sage lists every property in your GSC; pick the one to track
4. **Confirm client details** — optionally edit the auto-detected company name + primary contact
5. **Done** — the domain appears in your portfolio within 30–60 seconds

**The domain must already exist in your Google Search Console account.** Sage doesn't add domains to GSC for you — that's GSC's separate verification process. If a client doesn't have GSC set up yet, that's step 0 before Sage can do anything.

## Why this is your starting point

Sage is built around **per-domain** workflows — almost every other page in the platform is scoped to one domain at a time. The Domains Overview is the one place you see across all clients at once.

Daily usage pattern:

1. **Morning glance** — Domains Overview to see which clients have new activity or stalled metrics
2. **Click into a domain** — Open Content Calendar or Performance Dashboard for that client
3. **Take action** — Queue new article topics, review pending publishes, check indexing status
4. **Return to portfolio view** — Move to the next client

The clients you want at the top of the list are usually the ones with **rising CTR** or **rising impressions but flat clicks** — both signal opportunity. The CTR shows titles+descriptions are working; the flat-clicks-with-rising-impressions tells you content is matching new queries but not converting them yet.

## What Sage handles automatically per domain

* **Daily GSC refresh** — Sage re-pulls impressions/clicks/CTR every 24 hours
* **Per-URL indexing inspection** — see the Google Index dashboard for each domain's coverage
* **Sitemap sync** — Sage knows every published URL on each domain via its `sitemap.xml`

## Frequently asked questions

### How often does Sage auto-refresh data?

Every 24 hours by default. You can force a refresh on any domain anytime via the Refresh button — that pulls fresh data within \~30 seconds.

### Will deleting a domain remove historical data?

Yes. Removal is permanent — articles, generation history, GSC snapshots, and the company overview are all dropped. Only do this if the client is truly no longer being served.

### Can I connect the same GSC account to multiple Sage workspaces?

Yes. Each workspace stores its own GSC credentials securely. Useful if you run multiple agency entities or want to separate prod from staging.

### Does Sage need access to all of my GSC properties?

Sage only reads the properties you explicitly add as domains. GSC's OAuth flow grants Sage permission to *see* your property list, but you choose which ones to actually track in Sage.

### What's the difference between this page and the Performance Dashboard?

* **Domains Overview** = portfolio view across all clients (this page)
* **Performance Dashboard** = drill-in for one specific client's keyword/page/traffic detail

How Sage generates article topics from real search demand + your client's site, and how to build a 6-month content calendar in minutes.

The Content Calendar is where article topics enter Sage. It's not a generic "give me 10 blog ideas about X" prompt — Sage analyzes the client's existing site, their current Google rankings, and search demand patterns to suggest topics with **real measurable upside**. Then it helps you turn that pile of ideas into a scheduled 6-month publishing plan in a couple of clicks.

Every suggestion is **ranked by potential upside**: how much search demand exists, how poorly the client currently ranks (room to grow), and how aligned the topic is with the client's existing offering. You get ideas that should rank *and* that the client can credibly own.

## Getting your first article ideas

When you first open the Content Calendar for a domain, you'll see a blank board. To populate it:

1. Click **Get Article Ideas**
2. Sage analyzes:
   * The client's website (homepage + service pages)
   * Current Google Search Console rankings (anything they're ranking for, especially position 5–20 — the "almost there" cohort)
   * Search demand around their core topics
3. Within \~10–20 seconds you'll see your first **15 suggestions** populate

Each suggestion includes:

You can read the reasoning before accepting an idea — useful for understanding which suggestions are "this is in your ranking sweet spot" vs "this is a new topic worth exploring."

## Managing suggestions

Three actions per suggestion:

| **+ Accept**      | Moves the article into your **Unscheduled** queue and replaces it with a new suggestion |

Each accepted article reduces your **Remaining Suggestions** counter for the month. Once you exhaust the batch, you can request a fresh round (tier-dependent how often you can do this).

**Tip:** Don't accept every suggestion. The point of seeing 15 at a time is to **curate** — Sage's job is to over-generate, your job is to pick the ones that actually fit the client's strategic direction.

## Building a content calendar

Once you have a queue of accepted ideas, the next step is scheduling them:

To set up the schedule:

1. Click **Create Article Schedule**
2. Pick **publishing frequency** (1x/week is most common, 2-3x/week for high-volume clients)
3. Pick **which day(s) of the week** to publish on
4. Sage generates a 6-month calendar with empty slots on the right days
5. Drag articles from **Unscheduled** into open slots, or use **Schedule for Month** to bulk-assign

The calendar visually shows progress (e.g., "3/4 articles scheduled for April") so you can tell at a glance whether a month is on track.

## What happens to scheduled articles

Once an article is in a calendar slot, it's queued for generation. What happens next depends on your mode:

| **Autopilot ON**   | On the article's scheduled date, Sage automatically generates + publishes it. You see notifications in the Activity panel, nothing else needed.     |

| **Manual trigger** | You can also click **Generate now** on any scheduled article to skip the wait and produce it immediately, regardless of its scheduled date.         |

## Editing scheduled articles

Before generation runs, you can:

| **Edit title**          | Refine the headline before it gets generated        |
| **Edit description**    | Tweak the angle or focus of the article             |
| **Move between months** | Drag to a different slot to change the publish date |

After generation runs, the same article moves to **Ready for review** (or **Published** if autopilot is on) and you edit it from there.

The calendar is **step 1** of the operational loop. Once articles flow through to performance data, that data feeds the next round of suggestions — Sage gets smarter about which topics work for each client over time.

## Frequently asked questions

### What if I run out of AI suggestions?

Each account has a monthly suggestion budget based on tier. When you exhaust the current batch, you can request another batch — frequency varies by tier (Starter: every 30 days; Agency: weekly; Enterprise: on-demand).

### Can I skip scheduling and just save ideas?

Yes — articles can sit in **Unscheduled** indefinitely. The calendar is for organizing *when* to publish; the unscheduled queue is a parking lot for accepted-but-not-yet-planned ideas.

### Can I manually edit an article's publish date?

Yes — drag any scheduled article between months, or within a month to reorder. The publish date auto-updates.

### What if I want to suggest topics manually?

You can — click **Add Custom Topic** to insert your own title + target keyword. Sage will generate the brief automatically and treat it like any other suggestion.

### Does Sage learn from which suggestions I reject?

Not yet on a per-rejection basis, but Sage tracks which articles you actually publish + which ones perform. Future iterations will weight suggestions toward topics in the cohort that's been working.

### Can I generate articles outside the calendar schedule?

Yes — **Generate now** on any scheduled or unscheduled article triggers immediate generation. The calendar is the default cadence engine, not a hard gate.

The Domain Performance Dashboard — one-glance health view for a single client's SEO performance, with the metrics that actually inform content decisions.

The Performance Dashboard is your **single-client deep view**. When you've drilled into a specific domain from the Domains Overview, this is the first page you land on — a high-level snapshot of how the client's content is performing in search, designed to answer the questions you'll have during a client meeting or weekly review.

The data comes directly from Google Search Console, so what you see is exactly what Google is reporting — not a re-interpretation or proxy metric.

### Keyword performance (top of page)

The most important numbers for a quick health check:

The Top 10 count is the most important single number. Position 1–10 = visible to users; position 11+ = effectively invisible. A site with 500 keywords in the Top 100 but only 12 in the Top 10 has a clear opportunity: which of those 500 can be pushed onto page one?

### Page performance (middle section)

Top 5 performing pages, ranked by clicks + impressions. This tells you:

* Which articles are actually driving traffic (vs which ones just exist)
* Where to focus internal links — point them at the pages that are working
* What patterns are working — topic, format, length — so you can replicate them

### Website traffic summary (bottom)

* **Total website clicks** — sum of all clicks across all queries
* **Total website impressions** — sum of all impressions across all queries

The simplest "are we winning or losing" trend line. Compare to last period to spot growth or stagnation.

## Time-range filters

Every metric on the dashboard responds to the time-range filter at the top:

* **Flat trends** → usually means existing content is maxed out. Time to publish more — Sage's AI Suggestions Engine can queue the next round.

## How this feeds the AI Suggestions Engine

Every time you request fresh AI suggestions for a domain, Sage reads from this same SEO data to inform the suggestions. Specifically:

1. **Almost-there queries** (positions 5-20) become candidate article topics — these are the keywords with proven demand where the client can credibly rank with the right content
2. **High-performing pages** become templates — the AI looks at what's working and suggests similar topics

## Frequently asked questions

### Why don't I see all my queries?

Google Search Console hides queries with very low impression counts (privacy threshold). You'll see anything that gets at least a few dozen impressions in the selected time range; ultra-long-tail queries get aggregated into the "anonymized queries" bucket that GSC doesn't expose individually.

### Why does Google show me a different number than this dashboard?

You should see the same numbers as Google Search Console for the same date range. If there's a discrepancy, it's almost always a timezone difference or a date-range mismatch — Sage's "Last 7 days" is the rolling 7 days as of last GSC refresh, which may differ from GSC's "Last 7 days" by a few hours.

### Can I export this data?

Direct CSV export is on the roadmap. Until then, GSC's UI has full export — Sage doesn't duplicate that.

### How does this feed back into AI suggestions?

# Google Index Status

How to use the Google Index dashboard to spot which articles Google has accepted, which are stuck, and what to do about it.

The Google Index tab is where you find out whether the content you've published actually exists in Google's eyes. Publishing to your site is only half the journey — Google has to **discover**, **crawl**, and **index** each URL before it can rank or drive traffic. Most SEO tools assume that happens automatically. ## Filter pills — focus on what matters

The pills above the table let you slice the URL list by status. The two you'll use most:

* **Ranking** — URLs with impressions > 0. These are working. Don't touch them.
* **Not Indexed** — URLs Google saw but chose not to include. These are your action list.

The "Indexed but zero impressions" set is also useful — those URLs are in Google's index but not surfacing for any queries, usually a sign that the content isn't matching real search intent. Worth a content audit.

## The "Not Indexed" playbook

When an article is stuck at Not Indexed, that's the signal. Common causes + Sage's response:

A site can publish dozens of articles and never see traffic if Google isn't indexing them. The Google Index dashboard is the only place you'll catch this fast — most analytics tools wait for traffic to materialize before flagging anything, and by then you've lost months.

### Why are some URLs marked "Unchecked"?

### How often does the data refresh?

The summary counters refresh several times a day. Per-URL status refreshes on a regular schedule + on demand via the Inspect button. Impressions are pulled from Google Search Console daily.

### Why is my impressions count zero for indexed pages?

"Indexed" means Google has the page in its index, but if it's not ranking on the first few pages for any query, it won't get impressions. This is normal for new articles — impressions usually start appearing within 1–4 weeks of indexing.

### What's the difference between "Inspect" and "Refresh All Data"?

* **Inspect** = ask Google for a fresh verdict on one specific URL
* **Refresh All Data** = pull the latest impressions + clicks from Google Search Console for every URL

### Can I re-submit a URL to Google?

For most moves: nothing destructive. You can drag back. But: dragging a Queued card to "Published" doesn't actually publish it to WordPress — that requires the explicit Publish action. The drag updates Sage's internal status only.

### Can I assign articles to specific team members?

Currently the owner is derived from who queued the article or who generated it. Custom assignee/team-member features are on the roadmap. For now, use the article's title prefix or tags to indicate ownership manually.

### What's the difference between Kanban and Content Calendar?

How Sage publishes finished articles to WordPress — the credentials, the assembled body, the auto-picked category, and what happens after.

When an article is finished generating, Sage publishes it directly to your WordPress site — no copy-paste, no manual upload. One click (or zero clicks if autopilot is on), and the article is live with featured image, proper category, meta description, and slug.

## One-time setup: connect your WordPress site

Before Sage can publish, you need to give it permission to log into your WordPress site. Sage uses **WordPress Application Passwords** — a native WP feature since version 5.6 (December 2020).

### Why App Passwords (not your main login)

Application Passwords are:

* **Revocable from your WP user profile** without changing your main password
* **Audit-tracked separately** so Sage's actions show up distinctly from your own logins
* **Scoped to API access only** — they can't log in to the WP admin UI as you

## Publishing an article

### Auto-publish mode (autopilot ON)

If autopilot is on for the domain, every generated article publishes automatically the moment it finishes — no clicks required. You see it move from **Generating** → **Published** in the Activity panel.

### Review-first mode (autopilot OFF)

Generated articles land in the **Up next** column as **Ready for review**. To publish:

1. Click the green **Publish** button on the article card
2. Sage pushes the article to WordPress with the saved credentials
3. You see a "Published to WordPress" confirmation
4. The article appears in WordPress immediately + on your site

No dialog appears for normal publishes — Sage already has everything it needs. If your credentials are missing or have been revoked, you'll see a small modal to reconnect, but otherwise the flow is one click → live.

Sage doesn't just hand WordPress a blob of HTML. Before publishing, it builds a polished, structured post:

## Category auto-pick

Sage will **never publish an article as "Uncategorized"** if your WP site has any other category. The auto-pick logic:

If you want all articles on a domain to land in one specific category, set a **default category** in the domain settings. Sage will use that instead of the auto-pick.

## What happens after publishing

Sage's job isn't done when the article goes live. The next \~24–72 hours determine whether it actually drives traffic:

### Do I need the old JSON Basic Authentication plugin?

No — Sage uses WordPress Application Passwords, which is a native feature in any WP 5.6+ site (December 2020 and later). No plugin install needed. If you're on an older WP version, upgrade — App Passwords are more secure than the legacy basic auth flow.

### Can I publish to a site that isn't WordPress?

Currently Sage publishes to WordPress only. Shopify, Webflow, and custom CMS integrations are on the roadmap. For now, you can copy a finished article from Sage and paste it into any platform manually — but you'll lose the auto-categorization, auto-image, and auto-indexing features.

### Will Sage overwrite an existing article on my WP site?

No. Each Sage article creates a new WP post with a unique slug. If you want to update a previously-published Sage article, edit it in Sage and re-publish — Sage detects the existing WP post by its stored WP ID and updates that instead of creating a duplicate.

### Can I publish to a draft state instead of live?

Currently Sage publishes as `publish` status (live). Publishing as `draft` is on the roadmap for agencies that want a final WP-side review gate in addition to Sage's review-first mode.

### What if the article publishes but Google doesn't index it?

## Frequently asked questions

### Are my Google credentials safe?

Sage uses OAuth — your password never reaches Sage's servers. Google issues us a short-lived access token that we can use to query GSC/GA on your behalf. You can revoke that access anytime from your Google account security page.

### What if my GSC token expires?

Sage automatically refreshes the token using Google's refresh-token mechanism. You'll only see a "Disconnected" status if the refresh itself fails (rare — usually means you revoked the connection or changed your Google password). One click reconnects.

### Does Sage support GA4 or Universal Analytics?

GA4 only. Universal Analytics was sunset by Google in July 2023 and is no longer queryable.

### What if my client doesn't have GSC set up?

That's prerequisite step 0 — they need to verify their domain in GSC before Sage can do anything. It's a 5-minute task (verify via DNS or HTML tag). Sage's docs include a quick walkthrough for clients who haven't done this.

### Can I connect multiple Google accounts?

Each domain in Sage connects to one Google account (the one that owns its GSC/GA). You can have different domains connected to different accounts — useful if you manage clients who use different Google Workspaces.

### What happens if I disconnect WordPress?

The connection drops, articles stop publishing automatically, and you'll need to reconnect to resume. Already-published articles stay published — Sage doesn't unpublish anything. Sage's record of which articles published to which URLs is preserved.

A task-oriented walkthrough of writing, editing, and publishing your first article with Sage — from a one-line topic to a live WordPress post.

This guide is **task-oriented**: follow it end-to-end the first time you use Sage to publish an article, and you'll have a working production cycle by the time you're done. For the methodology behind each step, see the related pages linked at the bottom.

## Step 1 — Connect your first client domain

If you've already added a domain, **skip to Step 2**.

1. Go to **Domains Overview** in Sage
2. Click **Add Project**
3. Approve the Google OAuth flow (this connects Google Search Console)
4. Pick the client's domain from your GSC property list
5. Confirm the auto-detected company name + industry tags

Sage now has the client's homepage analysis + their historical GSC data. Takes about 30–60 seconds.

> **If your client's domain isn't in GSC yet**, that's prerequisite step 0 — verify the domain in GSC first, then come back. Sage doesn't add domains to GSC for you.

## Step 2 — Get your first article ideas

Now you have a domain. Time to figure out what to write about.

1. Click into the domain → **Content Calendar**
2. Click **Get Article Ideas**
3. Sage analyzes the client's site + GSC data + competitive demand
4. \~15 article suggestions appear within 10–20 seconds

Each suggestion has:

* **Title** — the proposed headline
* **Target keyword** — what query this is meant to rank for
* **Reasoning** — *why* Sage picked it (usually ties to a specific GSC opportunity)

**Read the reasoning before accepting.** Useful suggestions tie to a real opportunity in the client's existing ranking sweet spot. Ones that don't fit your client's strategy: click ✕ to reject — Sage replaces each rejection with a fresh idea.

When you find an idea you like: click **+ Accept** (or drag it into the **Unscheduled** queue).

For this walkthrough, accept just **one** idea. We'll come back for the rest later.

## Step 3 — Generate the article

Two paths:

### Path A: Schedule it (autopilot)

1. With your accepted idea in **Unscheduled**, click **Create Article Schedule**
2. Pick a cadence (e.g., "1 article per week, Mondays")
3. Drag the article into the next available slot
4. On the scheduled date, Sage generates + publishes it automatically

### Path B: Generate now (manual control)

1. Click into the article from the Unscheduled queue
2. Click **Generate now**
3. Wait \~4–5 minutes while Sage runs the 7-stage pipeline:

## Step 4 — Review the article

Once generation finishes, the article moves to **Ready for review** in your Kanban board.

1. Open the article — click **Preview**
2. Scroll through the assembled article: title, featured image, Key Takeaways box, body content, FAQ section
3. Check for:
   * Does the framing match the client's brand voice?
   * Are the facts cited accurate?
   * Do the internal links (if any) point to relevant existing pages?
   * Does the featured image fit?

If anything's off, you have three options:

Most agencies' first few articles need light edits; by article 5–10 you'll know the patterns to trust.

## Step 5 — Publish to WordPress

Assuming the article looks good:

### One-time: connect WordPress

If you haven't connected WordPress for this domain yet:

1. Go to **Settings → WordPress** on the domain
2. Click **Connect WordPress**
3. Approve the WordPress Application Password flow (one click on the WP authorize page)
4. Connection live — Sage can now publish to this site

This is a one-time-per-domain step. After this, every article on this domain publishes through the same connection.

### Publish the article

1. From the article preview, click the green **Publish** button
2. Sage pushes the article to WordPress with the saved credentials
3. You see "Published to WordPress" confirmation
4. The article appears live on the client's site immediately

What happens next, automatically:

* Sage submits the URL to Google for fresh crawl (within seconds)
* The Google Index dashboard starts tracking the URL's indexing status
* Within 24–72 hours, you'll see whether Google accepted it into the index

The first article is the slowest one — every subsequent article skips Steps 1 + 5 setup work. Most agencies are at 4-5 articles per client per week within a month of starting.

### How much does each article cost in AI tokens?

Roughly $1.50–2.00 per article in underlying AI services. Sage rolls this up against your monthly tier cap. If you're running high volume, BYOK (bring your own API key) bypasses the cap.

### Can I run multiple articles in parallel?

Yes — Sage generates multiple articles in parallel. If you queue 10, they don't run serially; they spread out based on your tier's daily allocation.

### Will the article rank?

Sage gives you the best structural shot — Key Takeaways, FAQ schema, internal links, fresh research. But ranking still depends on your domain authority, topic competition, and time. New domains typically see indexing within 1-4 weeks and meaningful traffic within 2-6 months.

### What if I want to write the article myself but use Sage for the rest?

You can! Click **Edit** at any stage to swap in your own content. Sage will still handle enrichment + publishing + GSC submission with whatever body you provide.

### Can I publish articles to non-WordPress sites?

Currently Sage publishes to WordPress only. Other CMS integrations (Shopify, Webflow) are on the roadmap. For other platforms today, copy the finished article body from Sage and paste it into your CMS manually.

# How to Whitelist Sage E-mails

Make sure Sage's transactional emails (verification, billing receipts, important account notices) actually reach your inbox.

Sage sends three types of emails — and you need all of them landing in your inbox, not in spam:

1. **Verification + password resets** — when you first sign up or reset access
2. **Billing receipts + plan notices** — subscription confirmations, renewal notices, payment failures
3. **Important account events** — domain disconnect warnings, GSC re-auth needed, suspicious-login alerts

If any of these get filtered to spam, you might miss a renewal, a security alert, or a setup confirmation. This page shows how to whitelist Sage's sending domains so that doesn't happen.

### If you have Google Workspace as the admin

Workspace admins can whitelist at the **org level** so every employee gets the benefit:

1. Open the **Admin Console** at admin.google.com
2. Go to **Apps** → **Google Workspace** → **Gmail** → **Spam, Phishing and Malware**
3. Add `sageseo.ai` to the **Allowlist** under "Inbound gateway" or "Approved senders"
4. Save — applies within 1 hour to all users

## Outlook / Microsoft 365

1. Open Outlook → **Settings** (gear icon) → **View all Outlook settings**
2. Go to **Mail** → **Junk email**
3. Under **Safe senders and domains**, click **Add**
4. Enter `sageseo.ai`
5. Click **Save**

For Outlook desktop:

Apple Mail uses Mail Rules rather than a "safe senders" list:

## Yahoo Mail

1. Settings → **More Settings** → **Filters**
2. **Add new filter**
3. Name: "Sage"
4. Match emails where **From** contains `sageseo.ai`
5. Move to **Inbox** (forces incoming mail away from spam)
6. **Save**

## SaneBox / SuperHuman / Other email overlays

If you use SaneBox, SuperHuman, Hey, or another email overlay:

* Mark a Sage email as **Important** or **Train as Important** so the overlay learns
* Many tools have a one-time "always deliver from this sender" toggle — use it on the first Sage email you receive
* If billing emails land in a "Later" or "Receipts" folder, that's fine — just make sure account-event emails go to your primary inbox

## What if I've already missed an email?

If a Sage email landed in spam:

1. Find it in your spam folder
2. Mark it as **Not Spam** / **Not Junk**
3. Add the sender to your contacts
4. Set up the whitelist filter above so future Sage emails don't repeat the issue

If you can't find the email at all:

* Check the spam/junk folder + the "All Mail" view in Gmail (sometimes filters auto-archive)
* Check secondary tabs: Gmail's "Promotions" or "Updates" tabs
* Email `support@sageseo.ai` — we can resend any missed transactional email

### Why does Gmail flag Sage emails sometimes?

Gmail's spam filtering is aggressive on **transactional emails from young or low-volume sending domains**. As Sage's sending reputation builds over time, fewer emails get caught. Whitelisting is the immediate fix.

### Will whitelisting cause me to get more emails?

No — whitelisting tells your email client *"don't filter these emails as spam,"* not *"send me more of these emails."* You'll get exactly the emails Sage already sends, just to your inbox instead of spam.

### What if I'm on a corporate Gmail/Outlook account where I can't control filters?

Ask your IT/admin to whitelist `sageseo.ai` at the org level. Most corporate IT teams will do this within a few hours for a vendor your team is paying for.

### Does this protect against phishing pretending to be Sage?

It allows real Sage emails to reach your inbox. To verify any specific email is genuinely from Sage:

* Check the sender shows as `@sageseo.ai` (not a lookalike like `sageseo.io` or `sage-seo.com`)
* Click sender details — the verified domain should show "Yes" for SPF/DKIM/DMARC
* Never click links in emails claiming to be Sage if the sender domain looks off — log in directly to `app.sageseo.ai` to verify the action

### Still missing emails after whitelisting?

Contact `support@sageseo.ai` — we can check our sending logs and confirm whether the email left our system. About 95% of "missing email" support tickets resolve to "check your spam folder one more time"; the other 5% are either a typo in your account email or a deliverability issue we can fix from our side.

# Checking If Google Has Your Article

Why Sage watches Google's index for every article you publish — and what each status actually means for you.

When Sage publishes an article, we don't just push it to WordPress and walk away. We watch what happens next in Google's index — and we tell you exactly where each URL stands, in plain language, on the Google Index dashboard.

## What "indexed" actually means

For your article to drive search traffic, Google has to do three things in order:

1. **Discover** it — find the URL via your sitemap, internal links, or backlinks
2. **Crawl** it — visit the URL and read the page content
3. **Index** it — decide it's worth keeping in search results

Skipping any of these = no rankings, no clicks, none of the value from the work you put in. Most SEO tools assume all three happen automatically. They often don't.

## Why Sage checks every URL

Publishing an article is the start of the work, not the end. The real question is: **did Google actually pick it up?**

Sage closes the loop. We ask Google directly about every article you publish — usually within a few hours of going live, and again at regular intervals as the URL ages. You always know which articles Google has accepted into its index and which are stuck.

* **On demand** — click **Inspect** on any row to force a fresh check. Useful when you've made changes to a page and want to confirm Google has picked them up.

## How this fits into Sage's bigger picture

Indexing is the bridge between two halves of an SEO program:

## What happens when an article is stuck at "Not indexed"

This is the signal Sage was built to catch. Common causes + Sage's response:

* **Content is too thin** — Sage's enrichment system can add takeaways, FAQs, structured comparisons, and internal links to strengthen the article. Re-publish, re-submit, re-check.
* **Topic is already saturated in your domain** — consider consolidating with a similar article or pivoting to a less competed angle.
* **Site authority is too low for the topic** — focus on easier-win topics first; come back to this one once the domain has more indexed depth.
* **Technical issue** — robots.txt blocking, noindex tag, canonical pointing elsewhere. Sage flags these in the Per-URL detail panel.

## What Sage does NOT do here

* We never decide for Google. The verdicts come straight from Google's own assessment.
* We never claim a URL is indexed when it isn't — the dashboard reflects Google's current verdict, not aspirational state.
* We never spam Google with re-inspection requests. The check is paced to respect Google's quotas and your cache.

# Telling Google About New Articles

Why Sage tells Google about every article you publish — and how that shortens the time from "published" to "ranking".

Publishing an article to your site doesn't automatically put it in front of search users. Google has to crawl it first. By default that can take days or weeks, especially on smaller sites.

Sage shortcuts the wait. The moment an article goes live — autopilot OR your manual Publish — Sage tells Google directly that there's a new URL worth crawling. Most of our customers see articles indexed within hours instead of days.

## What this actually does

Submitting a URL to Google **prioritizes** the crawl — Google moves your URL toward the front of its discovery queue. It does NOT guarantee indexing. Google still makes its own call about whether the content is good enough to keep in the index. (That's what the [URL Inspection](/reference/url-inspection) check tracks.)

The submission is fire-and-forget. Sage doesn't wait for Google to respond before continuing — the article publishes immediately to your WordPress site either way. The submission happens in the background.

## When Sage runs it

* **After every publish** — autopilot OR manual Publish button. Always automatic. You don't need to click anything.
* **Once per article URL** — Sage tracks which URLs have already been submitted in the last 24 hours to avoid wasted submissions.
* **Re-submission on content changes** — coming soon. Today, Sage re-submits if you re-publish via the Sage interface; manual edits to the WP post don't trigger a fresh submission.

## What if it fails

A submission failure (rare — usually a temporary Google API issue) doesn't break anything else. Your article still goes live on your site. Google will discover the URL through your sitemap or internal links within days. Sage logs the failure but doesn't surface it to you unless it's a persistent pattern across a domain.

Sage's article writer produces the raw body. Before that body goes to WordPress, Sage layers in:

## The seven steps

1. **Brief** — Sage expands your topic idea into a structured plan: target word count, tone, audience, key questions the article should answer, suggested outline. This is the equivalent of an editorial assistant turning a one-line pitch into a brief.
2. **Keywords** — primary keyword + 2–5 secondary keywords. Pulled from your existing GSC rankings, competitive analysis, and topical relevance.
3. **Research** — Sage's writer fetches real sources — recent studies, statistics, expert articles — related to the topic. This is what separates Sage from a generic AI writer. Generic AI recycles training-data content; Sage incorporates fresh, citable material.
4. **Writing** — the article itself, built against the brief + keywords + research. Sage's writer prompt requires specific structural elements: Key Takeaways box near the top, at least one table, at least one ordered + unordered list, FAQ section, one-sentence direct answers under question headings, and "skim lines" opening each section.
5. **Image** — an editorial illustration generated specifically for this article, in your brand colors. The image is selected via a two-step prompt: first identifies the most concrete photographable concept from the article, then renders it in the editorial style of NYT/Atlantic opinion sections — not generic stock-vector SaaS imagery.

* **No keyword stuffing** — keywords inform the brief, the H2 structure, and the natural placement of phrases. They are not artificially repeated.

## Total time per article

Roughly 4–5 minutes end-to-end. Research is the most variable step — slow web responses can stretch it. Writing is the longest single stage (1–2 minutes for a 1,500-word article).

How Sage adds Key Takeaways, FAQs, charts, and internal links to every article — and why structured content gets cited more often by Google and AI.

After Sage writes an article, a second AI pass goes back through the finished content and adds **structured supplemental assets** — Key Takeaways, FAQs, internal links, optional charts. These aren't decoration. They're the elements that actually drive citations from Google + AI search engines.

## Why structured content wins

Google's AI Overviews, ChatGPT, Perplexity, and Bing Copilot all do the same thing when answering a user's question: they scan candidate pages, pull out the most extractable answer, and cite it.

A wall of plain text loses every time. A page with:

* A clearly-labeled "Key Takeaways" callout near the top
* One-sentence direct answers under question headings
* A FAQ section with explicit Q\&A pairs
* Structured FAQPage schema markup

...is what gets cited. Not because it's "better content" in some abstract sense, but because it's literally easier for AI systems to extract from.

Sage's enrichment exists to give every article these extractability surfaces by default — so you don't have to think about them on a per-article basis.

## What enrichment adds

### Key Takeaways

A blue callout box at the top of the article with 3–5 short bullets, each capturing one main idea in plain language. This is the single most-cited element on every page — both by Google's AI Overviews and by ChatGPT/Perplexity.

### FAQ section

4–5 question-and-answer pairs at the bottom of the article, formatted with explicit H3 questions and 1–3 sentence answers. Sage attaches structured FAQPage schema so Google can render the FAQs directly in search results.

## What enrichment doesn't do

* **Doesn't rewrite the body** — the article writer's output is the canonical body; enrichment only adds to it
* **Doesn't invent stats or facts** — every chart datapoint, every Q\&A answer comes from content the writer already produced
* **Doesn't link to external sites** — only internal links from your sitemap
* **Doesn't replace good content** — enrichment polishes; it can't save a thin article

## When enrichment runs

* **Automatic** — every article generated through Sage (autopilot OR manual generation) gets enriched as part of the standard pipeline
* **Re-enrichment** — if you edit an article body significantly, you can trigger a fresh enrichment pass to re-derive takeaways/FAQs from the new content (coming soon)

## Why this matters more than people think

Most AI writing tools generate the body and stop. The output ranks badly because it's hard to extract from. Sage's enrichment is what turns a generated article into a publishable + citable piece — the difference between "ranks on page 5 with zero clicks" and "shows up as a featured snippet on page 1."

How autopilot mode works — what runs automatically, what stays in your control, and how to choose between fully automatic vs review-first publishing.

Autopilot is Sage running the full content program on your behalf — turning topic ideas into published articles on a steady cadence without you having to manually click through every step.

## What autopilot does

Autopilot takes each AI suggestion in your content calendar and runs the complete pipeline:

1. **Builds the content brief** — outline, tone, target audience, suggested word count
2. **Picks the keywords** — primary + secondary keywords pulled from your existing rankings + competitive analysis
3. **Researches the topic** — Sage's writer fetches real sources, statistics, and recent context for the article
4. **Writes the article** — full HTML with skim lines, headings, lists, tables, FAQ section, intentionally structured for AI extraction + featured snippets
5. **Generates a featured image** — editorial illustration in your brand colors
6. **Enriches with assets** — Key Takeaways callout, suggested internal links, optional charts, FAQ schema
7. **Publishes to WordPress** — only if you've turned on auto-publish mode

End to end: about 4–5 minutes per article. You can have multiple articles in flight at once.

## Two modes

**Auto-publish** — articles go straight from "generated" to "live on your WordPress site". For agencies running content at volume on domains where the topic strategy is well-defined.

**Generate + review** — articles complete the full pipeline but land in `ready_for_review`. You preview, optionally edit, and click Publish manually. Slower but adds a human gate before content hits your site.

Toggle per-domain at the top of the Content Calendar.

## What you control

* **What topics get generated** — autopilot only runs against AI suggestions you've explicitly queued. Sage never invents articles out of thin air.
* **Cadence** — autopilot fires on a daily schedule. If you queue 10 articles on Monday, autopilot won't try to generate all 10 at once; it spreads them across days based on your tier.
* **Tier caps** — monthly article cap is set by your subscription. Hit the cap, autopilot pauses until the next billing cycle. Bring your own API key (BYOK) to bypass the cap.
* **Pause anytime** — flip the Autopilot toggle off and Sage stops queueing new generations. Articles already in flight finish.
* **Category** — Sage auto-picks a non-"Uncategorized" category for each article. You can also set a domain default if you want everything to land in one specific category.

## What autopilot does NOT do without your input

* **Add new topics to the calendar** — that's the AI Suggestions step; you choose what gets queued
* **Edit articles after publishing** — once it's on your site, autopilot is hands-off. Edits are manual.
* **Decide your brand voice** — sage-ai uses the tone you've established in your domain's settings. If you've configured a custom style override, autopilot respects it.

## Content Audit · Actions

Sage's Content Audit looks at every article on your site, scores it against your domain's niche, and recommends one of three actions — **KEEP**, **REWRITE**, or **TRASH**. The recommendation is the audit's opinion; the action is what you actually do about it. This page explains both.

### What gets audited

Every published blog post on your site, against the niche statement you set on the audit page. The audit *skips* pages like Home, Contact Us, Terms & Conditions, Thank You, and sign-up flows — those aren't editorial content and shouldn't be graded as such.

Each article is scored 0–100 on six dimensions:

* **On-topic for your niche** — does it match what you publish about?
* **Originality + depth** — does it add anything a reader couldn't get elsewhere?
* **Structure** — does it read well, with no duplicate title/sections?
* **Internal linking** — is it woven into the rest of your site?
* **Freshness** — does it reference current practice, or does it feel like a 2020 snapshot?
* **Indexability** — title, slug, featured image, clean URL?

### What each recommendation means

| Pill        | Score | Meaning                                                                                                                                         |
| ----------- | ----- | ----------------------------------------------------------------------------------------------------------------------------------------------- |
| **KEEP**    | 70+   | The article is doing real work for your niche. Let it run.                                                                                      |
| **REWRITE** | 30–69 | The bones are there, but the article needs an update — usually freshness, depth, or better internal links.                                      |
| **TRASH**   | < 30  | Off-topic, thin, broken, or otherwise not pulling its weight. The article is probably hurting your domain's signal to Google more than helping. |

The cutoffs are strict on purpose. Sage's job is to give you a clear triage signal, not to soften the news.

### What each action button does

Three actions show up next to each row, depending on the recommendation:

#### KEEP rows

No action button. The article is doing its job. The audit will not score it again — content audit is one-and-done per article.

#### REWRITE rows: **✏️ Rewrite**

Triggers Sage AI to regenerate the article from the audit's suggested brief. The new draft uses your domain niche statement and is staged as a draft — nothing republishes to WordPress until you confirm it.

Use Rewrite when the article's topic is right but the execution is dated, thin, or off-message. Don't use it for articles that should never have existed in the first place — for those, use Trash.

#### TRASH rows: **🗑️ Trash**

Three things happen:

1. **In WordPress:** the post is moved to **Trash** (the WP admin's recycle bin). Reversible from WP admin for 30 days.
2. **For Google:** with the **Sage 410 Handler** plugin installed, the URL starts returning **410 Gone** instead of 404. This tells Google the page was intentionally and permanently removed, which speeds up de-indexing.
3. **In Sage:** the row is hidden from the active audit view and tagged as Trashed. You can find it later under the **Trashed** filter chip with a Restore button.

Nothing is permanently deleted. All three steps are reversible — Restore puts the WP post back to publish, the URL responds 200 again, and the row returns to the audit.

Use Trash for articles that don't fit your niche, won't fit it with any reasonable rewrite, or have legitimately stale content (e.g., reviews of products that don't exist anymore).

#### Why 410 instead of 404?

Both 404 and 410 tell Google the page is gone, but they say slightly different things:

* **404 Not Found** = "The page isn't here." Google reads this as *might be missing temporarily, might be a mistake* — and keeps re-checking the URL for weeks before fully dropping it from the index.
* **410 Gone** = "The page is intentionally and permanently removed." Google de-indexes 410s faster and stops wasting crawl budget on them.

For a deliberate content audit where you're pruning thin or off-topic articles, 410 is the more accurate signal. Google's own John Mueller has confirmed multiple times that 410 is processed faster than 404, and 410 is the correct status for intentional removals.

The default WordPress behavior is to serve 404 for trashed posts — which is the wrong signal for a deliberate trim. The **Sage 410 Handler** plugin sits in front of those 404s and converts them to 410 automatically. Install it once via WP admin (3-click setup); after that, every Trash you click in Sage gets the faster de-indexing path for free.

> **Don't have the plugin installed yet?** Sage still trashes the article correctly in WordPress — Google just takes longer to drop it from search results (typically 2–4 weeks vs \~1 week with 410). Install when you have a minute; nothing breaks in the meantime.

#### Trashed rows: **↶ Restore**

Reverses the Trash action:

1. **In WordPress:** the post status flips back to **publish**. The public URL returns 200 again.
2. **In Sage:** the row reappears in the active audit view with its original recommendation.

Restore works at any time, regardless of how long ago you trashed the article. The 30-day WP Trash window only matters if you trashed it from inside WordPress admin instead.

### When to Trash vs Rewrite

A useful gut-check:

| If the question is…                                              | Trash | Rewrite                  |

| Does this article belong on a site about my niche at all?        | No    | Yes                      |
| Is the topic still relevant to my audience in 2025+?             | No    | Yes                      |

| Is the article actively pulling search traffic right now?        | No    | Maybe — Rewrite is safer |
| Was this published by a previous strategy that's now abandoned?  | Yes   | No                       |

When in doubt, Rewrite. It's the more conservative move and the article keeps its URL, backlinks, and any rankings it had.

### What the Trashed filter is for

When you click the **Trashed** chip at the top of the audit, you see only articles you've previously trashed. Each row keeps its original score and reasons + adds a Restore button.

Use this view when:

* You want to double-check what you've removed from the site
* You think an article was trashed by mistake and want to bring it back
* You want to look at the audit's reasoning on the trashed articles to confirm your call

### How the audit fits the bigger picture

The Content Audit is the first half of a two-step program:

Audit + Trash is a one-time cleanup that lets the new content you publish breathe. If your domain is dragging 40 thin, off-topic articles, every new post Sage publishes has to fight that anchor for Google's attention. Removing them — even temporarily, since Trash is reversible — gives the strong content a chance.

After the cleanup, the audit becomes maintenance: any article Sage generates is automatically scored once when it goes live. If it scores under 30, you'll see it surface for review.
