The Kanban Content Pipeline is a visual board that lets marketing agencies track every article—from idea to publication—across all client domains in one place. It replaces scattered spreadsheets and endless email chains with a single, role-based workflow.


1 . Why Use the Pipeline?

  • Unified view of every draft for every client

  • Drag-and-drop progress tracking (Created → Research → Draft → Review → Approved → Publish)

  • Role assignments for writers, editors, clients, and admins

  • Integrated actions: Create Brief | Keyword Research | Write with AI | Publish to WordPress


2 . Board Layout and Filters

Element
Purpose

Domain Filter

Focus on one client or view all domains at once.

Columns / Phases

Created, Brief Ready, Draft, Review, Approved, Publish.

Cards

Each card = one article, showing due date, assignee initials, and keywords.

Tip: Filter to ColorGuru (or any client) to see only its scheduled articles.


3 . Article Card Details

  • Phase – Current workflow stage

  • Due Date – Assigned deadline

  • Owner – Writer, editor, or reviewer initials

  • Primary / Secondary Keywords – SEO focus terms

  • Quick Actions

    • Create Brief (AI-generated content brief)

    • Keyword Research (semantic list)

    • Write with AI (launch SageWriter)

    • Open in Editor (manual edits)


4 . Typical Workflow

  1. Created – New idea enters board.

  2. Brief Ready – Click Create Brief; AI produces a detailed outline.

  3. Draft – Writer opens SageWriter, clicks Write with AI, or drafts manually.

  4. Review – Editor or client reviews; drag card to Review when ready.

  5. Approved – Client signs off; drag to Approved.

  6. Publish – Enter live URL or push via WordPress workflow.

Email notifications alert the next assignee every time a card changes phase.
